Salutation/Greeting, Complimentary close
- If you do NOT know the name of the person receiving your letter, use 'Dear Sir/Madam,'.
- If you DO know the name, use 'Dear Mr. ...' or 'Dear Mrs. ...'
- If you do NOT know whether it is Mrs. or Miss., use Ms.
- 'Yours faithfully' is used when you do NOT know the name of the person receiving your letter.
- 'Your sincerely' is used when you DO know that name.
- In AmE, it is also common to write 'Yours truly', Sincerely yours' or 'Truly yours'.
- Times change and some people now consider the above phrases to be too old-fashioned.
So, if someone has written to you using less formal expressions, e.g.
'Hello...' ... 'Kind regards'/'Best regards'
you can answer back using the same style. In case of doubt, however, your safest bet is to stick to the traditional, more formal, phrases.
